LMS integrations are often thought of as an inconsequential part of your learning platform. Rarely given much airtime in the demo, they’re relegated to the nuts and bolts of the process while the bulk of your attention is spent on the big, exciting features that make the platform stand out from the crowd.

But further down the line, your LMS integrations – or lack thereof – can bring the entire project to a grinding halt.

This guide explains what LMS integration involves and how APIs and webhooks work in plain English, then gives you an LMS integration checklist to put to any vendor before you sign. Share it with your IT team early and you'll both go into vendor conversations asking the same things.

Why HRIS and CRM integrations matter for your LMS

An LMS sits in the middle of a lot of other systems – your HRIS, identity provider, CRM and BI tools, to name just a few – so it’s vital that they all work in harmony.

The difference between strong LMS integrations and weak ones comes down to how much manual input your platform needs.

With a well-built HR system integration, new starters have an account waiting on their first day and people move into the right groups automatically when they change role, so your reports always reflect what’s actually happening in the business.

Weak integrations push that work back onto your L&D team, who end up exporting spreadsheets and fixing mismatched records, often chasing data that should have synced on its own. Over a year, that admin time adds up.

LMS APIs and webhooks in plain English

An API (application programming interface) lets one system ask another for information or tell it to do something, such as your HR system creating a new user in the LMS. Our glossary explains what an API is in more detail.

A webhook works the other way round, with the LMS sending a message to another system the moment something happens, such as a learner finishing a course. Think of an API as checking your post every morning, and a webhook as the doorbell ringing when a parcel arrives.

You'll want both, because APIs give you control over what you read and change, while webhooks keep connected systems up to date in real time.

What to look for in an enterprise LMS API

When you're comparing platforms, focus on what each API lets you do and how well it's maintained. Ask to see the documentation before a demo rather than after, and get your IT team to check it against the jobs you need it for.

  • Coverage: can you read and write the data you care about, including users, groups, content, enrolments, completions and skills, or only a small subset?
  • Authentication and security: how are API keys or tokens issued, scoped and revoked, and can you limit each integration to the data it needs?
  • Rate limits: how many requests can you make, and are the limits high enough for an organisation of your size?
  • Versioning: how does the vendor handle changes, and how much notice do you get before an endpoint is retired?
  • Documentation and support: is the documentation public, current and clear, and is there someone to talk to when an integration breaks?

Why LMS webhook coverage matters

Webhooks are only as useful as the events they cover. A platform might send a webhook when a course is completed but stay silent when a user is deactivated, a certificate expires or someone is added to a new pathway, leaving your other systems to find out the slow way.

Ask for the full list of webhook events and map it against the processes you want to automate. If your compliance team needs to know the moment a mandatory certificate lapses, check that event is on the list. It's also worth asking what happens when a webhook fails to send, whether the platform retries automatically, and whether you can see a log of what was sent and when.

Bulk endpoints and working at enterprise scale

Learning platform integrations that work for a pilot group of 200 people can struggle when you roll them out to 20,000. If the API only lets you create or update one record per request, a restructure or a big onboarding intake turns into thousands of calls, which can hit rate limits and take hours to finish.

Bulk endpoints let you send many records in a single request, so large changes such as importing a new business unit, moving people between groups or updating job titles after a reorganisation happen quickly and predictably. Ask vendors whether they offer bulk operations, how large a batch can be, and how errors are reported when some records in a batch succeed and others fail. If you're buying for a large or fast-growing organisation, ask whether there's an enterprise tier of API access with higher limits.

Your LMS integration checklist: questions to ask vendors

Take this list into your next vendor call and ask for evidence alongside each answer, such as documentation, a live walkthrough or a reference customer with a similar setup.

  • Which LMS extensions and integrations do you offer out of the box, and which of those connections are built and maintained by you?
  • Can we see your full API documentation before we sign?
  • Which objects can we read and write through the API?
  • Which events trigger a webhook, and what happens if one fails to send?
  • Do you offer bulk endpoints, and what are the batch size limits?
  • What are your rate limits, and can they be raised for enterprise customers?
  • How do you handle API versioning and deprecation notices?
  • How do you keep API access secure, and can each integration be limited to the data it needs?
  • Do you support open standards such as SCORM and MCP (Model Context Protocol) for content and AI tools?
  • Who supports us if an integration breaks, and how quickly?

At Thrive, we've expanded our webhook coverage and added an Enterprise API with bulk endpoints, so large organisations can keep data moving between Thrive and the rest of their tech stack at scale. You can browse all our LMS integrations, including Slack and Microsoft Teams, and see how AI tools connect to Thrive through our MCP Server.

FAQs

What is LMS integration?

LMS integration is the connection between a learning management system and the other tools an organisation uses, such as its HR system, identity provider, CRM and communication tools, so data moves between them without manual work. Learning management system integration usually relies on APIs, webhooks or pre-built connectors, and it handles jobs such as creating user accounts for new starters, updating groups when people change role and sending completion data to reporting tools.

Can an LMS connect learning data to HR and CRM systems?

Yes. Through APIs, webhooks and pre-built integrations, an LMS can share data with HR systems and CRMs, so learning records sit alongside employee and customer data. Thrive integrates with HR systems such as Personio and CRMs such as Salesforce, so learning data feeds into the systems organisations use to manage people and performance.

What's the difference between an API and a webhook?

An API lets another system request data from the LMS or make changes to it, usually on a schedule. A webhook is sent by the LMS automatically when a specific event happens, such as a course completion, so connected systems are updated in real time. Thrive supports both.

Which systems should an enterprise LMS integrate with?

At a minimum, an enterprise LMS should connect to your HRIS for user data and your identity provider for single sign-on. Many organisations also connect it to a CRM, BI tools for reporting, communication tools such as Slack or Microsoft Teams, and AI assistants. Thrive integrates with Salesforce, Microsoft Teams and Slack, among many other systems.
