Basics
Overview
Learners sometimes end up with more than one profile, set up twice by mistake or created fresh when they move site or employer. This is common in franchise style organisations, where each site runs its own HR system with no shared ID that follows a learner between locations. When someone moves, they arrive as a new user, and their existing completions and CPD stay stranded on the old profile.
Import Learning History gives Super Admins a self-service way to fix this directly in Thrive. This release covers profile to profile copy only. Bulk CSV import is a separate future release.
What's new
- A new "Import learning history" action in the row-level menu on the Manage Users page, available to Super Admins only
- A short wizard walks the admin through choosing a source profile, what to copy, and confirming
- Completions and CPD records are copied from the source profile onto the target
- Records are copied, not moved, and added to what is already on the target profile
Why / benefits
This removes a high volume, manual support task:
- One large customer alone raises 40 to 50 tickets a month asking for this
- It frees up around 8 support hours a month
- Customers resolve it themselves in minutes instead of waiting on a ticket
- Learners keep their full training record on one active profile, so reporting and compliance stay accurate
How it works
- A Super Admin starts the import from the actions menu on the Manage Users page
- They search for the source profile by name, email or reference and confirm it is correct
- They choose what to copy, completions, CPD or both
- They can optionally suspend the old profile so the learner ends up with one active account
- A summary confirms what is about to happen before the import runs. The action cannot be undone.
Use cases
- A learner moves between sites in a franchise network. The Super Admin imports their completions and CPD onto the new profile and suspends the duplicate, no ticket required.
- A compliance admin finds a frontline worker was set up twice. They import the records onto the correct profile and suspend the duplicate, so the learner has one complete record.

- The support team gains time back as a repetitive, high-volume request moves to self-service
